We are seeking a highly organized, proactive, and resourceful Executive Assistant to support a dynamic executive in the talent management and hospitality space. This role is ideal for someone who thrives in a fast-paced, creative environment and can seamlessly manage both administrative responsibilities and talent-related coordination.
The Executive Assistant will act as a key partner, helping to manage day-to-day operations, communications, scheduling, and talent logistics. Discretion, attention to detail, and strong interpersonal skills are essential.
Key Responsibilities:
Manage complex calendars, scheduling meetings, calls, travel, and events across multiple time zones
Coordinate domestic and international travel, including itineraries, accommodations, and reservations
Serve as a liaison between the executive and talent, brands, partners, and internal stakeholders
Assist with talent management logistics, including bookings, contracts, deliverables tracking, and timelines
Support coordination of brand partnerships, appearances, events, and media opportunities
Handle email and communication management, including drafting responses and prioritizing correspondence
Maintain organized records of talent engagements, contracts, and key documents
Track invoices, expenses, and basic budgeting related to talent and projects
Assist with special projects, research, and ad hoc tasks as needed
Ensure the executive is prepared for meetings, events, and appearances (briefing materials, agendas, etc.)
Qualifications:
2+ years of experience as an Executive Assistant or in a similar support role, preferably within talent management, media, hospitality, or entertainment
Strong organizational and time management skills with the ability to prioritize effectively
Excellent written and verbal communication skills
High level of discretion and professionalism
Experience coordinating travel and managing complex schedules
Detail-oriented with strong follow-through
Comfortable working in a fast-paced, ever-changing environment
Preferred Experience:
Exposure to talent management, influencer relations, or brand partnerships
Interest or background in culinary, food & beverage, wine, or hospitality industries
Experience supporting a public-facing executive or personality
Pay for this position: $23/hr. Overtime is time and a half. Bonus eligible.
This position works a hybrid schedule of 3 days in office, 2 days WFH. Business travel may be required.
