About the Role
This is a high-trust, high-volume transaction coordinator role for an established Eugene real estate professional doing significant volume. You will be the operational front door for every transaction — owning file creation, contract preparation, document routing, scheduling, deadline tracking, and all coordination with lenders, escrow, co-op agents, inspectors, and vendors. You will not be cold-calling, prospecting, or showing homes. You will be running deals.
This is the right fit for someone who already loves transaction coordination, has done it for at least three years, and wants to be the person making sure nothing falls through the cracks. The agent loves negotiation, client relationships, and listing presentations — and wants to spend his time exclusively on those. Everything else is yours.
What You'll Own
Listing file creation and contract preparation in Skyslope and Zip Forms
All DocuSign routing, signature tracking, and document compliance
All communication with lenders, escrow officers, co-op agents, inspectors, and vendors
Deadline tracking and proactive nudges across every active file
Closing gift coordination using a tiered system (provided)
Daily end-of-day brief to the broker
Weekly seller feedback reports during active listings
Post-close review request and client database updates
What You Won't Do
No prospecting, cold calling, or lead generation
No negotiation — that stays with the broker
No marketing production (separate role exists for Canva/social)
No client meetings unless invited
Required
3+ years of Oregon real estate transaction experience (TC, broker assistant, or active agent)
Personally familiar with at least 50 closed transactions
Skyslope and Zip Forms (Lone Wolf) proficiency, or demonstrable ability to learn fast
DocuSign, Outlook, RMLS, ShowingTime — current, hands-on use
Excellent written communication — you'll send 30+ emails a day in the broker's voice
Calm under volume; comfortable with terse direction
Able to be in the Eugene/Springfield area three days a week
Strongly Preferred
Active Oregon real estate license (not required, but useful)
Experience supporting a high-volume agent (80+ transactions/year)
Familiarity with closing-gift platforms (or strong sense of taste in local Eugene vendors)
