The Opportunity The In-House Transaction Coordinator is a cornerstone of DPD's sales and operations team — the driving force behind every luxury transaction from executed agreement of sale through a flawless closing. This individual orchestrates the full transaction lifecycle across DPD's portfolio of single-family estates, luxury condominiums, and multifamily residences, ensuring every conveyance is executed with the precision, discretion, and white-glove professionalism our clientele expects.
This role is tailor-made for a licensed Pennsylvania real estate professional with commanding knowledge of contract law, title processes, and the nuances of luxury new construction transactions. The ideal candidate is polished, service-driven, and thrives under pressure — taking full ownership of their pipeline and holding themselves to the highest standard of accuracy. You will serve as DPD's primary point of contact between buyers, agents, title companies, attorneys, lenders, and municipal authorities, ensuring every transaction closes on time, on terms, and without error.
Key Responsibilities
Contract Drafting & Execution Draft, prepare, and manage all agreements of sale, addenda, amendments, and seller disclosures for DPD's residential and multifamily transactions. Ensure contracts are precise, complete, and fully executed in a timely manner, maintaining strict compliance with Pennsylvania real estate law, PAR standard forms, and DPD's internal protocols. Review all incoming offers for accuracy, enforceability, and alignment with DPD's sales objectives before presenting to leadership.
Listing Contract Review & Management Review and manage all listing agreements for DPD's active and upcoming inventory. Coordinate with the CEO and sales team to ensure listing terms, pricing, commission structures, and special conditions are accurately reflected in all agreements. Track listing expiration dates, renewal windows, and required modifications to keep documentation current and compliant.
Full Transaction Pipeline Management Own every active transaction from ratified agreement through deed transfer. Maintain a real-time transaction management system tracking all key dates, contingency deadlines, inspections, mortgage commitments, and closing timelines. Proactively communicate with all parties ensuring no milestone is missed and no deal falls through the cracks.
Title Company Coordination Serve as DPD's primary liaison with title companies and settlement agents. Coordinate title searches, commitments, insurance, deed preparation, and HUD/ALTA settlement statement reviews. Identify and resolve title issues — including liens, easements, judgments, or municipal violations — well in advance of settlement. Ensure all transfer tax calculations, deed recordings, and municipal certifications are accurate and submitted on time.
Lender & Mortgage Coordination Communicate regularly with buyers' lenders and mortgage brokers to monitor loan status, track commitment deadlines, and flag financing risks that could jeopardize closing timelines. Maintain awareness of appraisal outcomes and work with leadership to address any appraisal gaps or contingency issues strategically.
Buyer & Agent Communication Serve as a responsive, knowledgeable point of contact for buyers, buyer's agents, and cooperating brokers throughout each transaction. Provide regular status updates, answer contract and process questions with clarity, and manage all communications in a manner that reflects DPD's reputation for excellence. Cultivate strong relationships with the region's top-producing brokers to build repeat business and referral pipelines.
Municipal Compliance & Certificate of Occupancy Coordination Coordinate with municipalities, township offices, and inspectors to ensure all required certificates of occupancy, use and occupancy permits, municipal lien certifications, and code compliance documents are obtained well in advance of settlement. Track all open permits and ensure proper closures are completed prior to deed transfer. Maintain an organized, proactive log of municipal requirements across DPD's active luxury markets in Philadelphia, Montgomery County, and Bucks County.
Commission Tracking & Closing Reconciliation Track and reconcile all commission obligations, cooperative brokerage agreements, and referral fees across DPD's transaction pipeline. Review all HUD/ALTA settlement statements for accuracy prior to closing and flag any discrepancies for resolution. Maintain meticulous closing records and post-settlement documentation for every transaction in the portfolio.
AI-Driven Transaction Management Leverage AI-powered tools and technology platforms to automate routine transaction workflows, generate status reports, manage deadline tracking, and streamline document preparation and client communications. Identify and champion opportunities to integrate emerging technology into the luxury transaction management process to improve speed, accuracy, and team-wide visibility without ever compromising the personal, high-touch service experience our buyers expect.
Compliance, Record-Keeping & Risk Management Maintain complete, organized, and audit-ready transaction files both physical and digital for every deal from listing through post-closing. Ensure all files comply with Pennsylvania Real Estate Commission (PREC) record retention requirements and DPD's internal compliance standards. Proactively identify contract, title, or legal risks and escalate to leadership and legal counsel as appropriate to protect DPD's interests and reputation on every transaction.
Qualifications
Active Pennsylvania Real Estate License — Mandatory. Candidates without an active PA license in good standing with PREC will not be considered. A broker's license or active Board of Realtors membership is a plus.
Education — High school diploma required; Bachelor's degree in Real Estate, Business, Finance, or a related field preferred.
Experience — Minimum 5 years in luxury real estate transaction coordination, settlement services, or a closely related high-end real estate operations role, with demonstrated experience managing a sophisticated volume of concurrent transactions.
Luxury Market Experience — Prior experience within the luxury or high-end residential real estate market is strongly preferred. A genuine appreciation for fine architecture, bespoke design, and elevated client service is essential.
Contract Expertise — Expert-level knowledge of Pennsylvania real estate contracts, PAR standard forms, agreements of sale, addenda, and seller disclosure requirements.
Title & Settlement Knowledge — Strong working knowledge of title searches, title commitments, ALTA settlement statements, transfer taxes, deed preparation, and municipal certification requirements across Philadelphia and Montgomery County.
New Construction Experience — Prior experience coordinating new construction luxury transactions — including certificates of occupancy, builder contracts, construction riders, buyer option/upgrade agreements, and phased delivery timelines is strongly preferred.
Regional Market Knowledge — Familiarity with luxury transaction processes, municipal requirements, and title practices across Philadelphia, Montgomery County, and surrounding suburban markets is highly valued.
Technology & AI Proficiency — Proficiency with transaction management platforms (Dotloop, SkySlope, or similar), Bright MLS, and Microsoft Office Suite. Experience with AI-driven tools to enhance document management, deadline tracking, and communications is strongly preferred.
Communication Excellence — Exceptional written and verbal communication with a polished, confident, and deeply service-oriented presence across all stakeholder groups.
Drive & Ownership — A true go-getter who takes full ownership of their pipeline and manages a high-volume luxury transaction load with urgency, precision, and unwavering composure.
Attention to Detail — Meticulous instinct for identifying errors, inconsistencies, or risks in contracts, title documents, and settlement statements before they become problems.
Logistics — Primarily in-office at DPD headquarters, with regular travel to property sites, settlement offices, municipal offices, and client meetings. Valid driver's license and reliable transportation required.
Compensation & Benefits
Base Salary: $75,000 annually
Total Target Compensation: $200,000 annually (base + performance-driven commissions)
