Position Summary
We are seeking a professional and highly organized Receptionist to serve as the first point of contact for visitors, clients, and employees. This role is responsible for ensuring a welcoming front desk environment while supporting day-to-day office operations, administrative tasks, and cross-functional team needs. The ideal candidate is proactive, detail-oriented, and able to manage multiple priorities in a fast-paced corporate setting.
This role is based in our headquarters in New York City and requires a 5 day full-time onsite presence.
Key Responsibilities
Greet and welcome visitors in a professional, friendly, and courteous manner
Provide general information and assistance to visitors, clients, and staff
Manage incoming calls by screening and directing them to appropriate contacts
Process guest and client registrations via the building’s management system
Maintain accurate records of outgoing appraisals and receipts in office tracking systems
Manage vendor arrivals and coordinate timely communication with the Merchandise Department regarding jewelry drop-offs
Maintain organization of the front desk area and ensure smooth daily operations
Partner with internal teams (IT, Facilities, HR, and others) to support efficient office operations
Monitor office supply inventory and submit replenishment requests as needed
Coordinate and place orders for office-related items, including pantry supplies, equipment, and general office needs
Maintain a clean, organized, and professional appearance of reception, pantry, kitchen, and common areas
Monitor and restock pantry and breakroom supplies as needed
Maintain order records and submit corporate card (CC) expense reports in Concur
Qualifications
1–3 years of experience in a receptionist, front desk, or customer service role preferred
Strong verbal and written communication skills
Professional, polished, and courteous demeanor in all interactions
Ability to multitask and manage competing priorities in a fast-paced environment
Strong attention to detail and organizational skills
Familiarity with Microsoft Office Suite (Word, Outlook, Excel) or similar software
Experience with expense reporting systems such as Concur preferred
Ability to maintain confidentiality and handle sensitive information appropriately
Hourly Rate:
$25.00 – $27.00 per hour, depending on experience and qualifications.
