Position Overview:
Long Hagan Huff-Harris is seeking a detail-oriented and proactive Marketing Assistant to support our Marketing Manager across a range of operational, relationship-focused, and event-based initiatives. This is a role with real variety — part data and systems work, part community and referral relationship support, part event coordination, and part hands-on support for the attorneys themselves as they grow their practices and visibility.
The ideal candidate is organized, curious, and eager to learn. They take ownership of the details that keep our marketing engine running smoothly and are not afraid to flag problems, suggest improvements, or dig into a spreadsheet to find an answer.
Responsibilities:
Intake System Operations (Clio Grow)
A core focus of this role is supporting and improving the firm’s client intake system, Clio Grow. This is operational, detail-oriented work that directly impacts how prospective clients experience the firm.
Perform accurate and timely data entry for all incoming leads, referrals, and intake inquiries within Clio Grow
Monitor the intake pipeline daily to identify gaps, delays, or irregularities — and flag issues promptly to the Marketing Manager
Generate and maintain regular reports on intake activity, conversion rates, referral sources, and follow-up status
Analyze intake data to surface trends and actionable insights that support continuous improvement
Work closely with the Marketing Manager to identify workflow inefficiencies and implement process improvements within Clio Grow
Ensure data integrity and consistency across all intake records
Support efforts to improve client satisfaction by tracking follow-up touchpoints and identifying drop-off points in the intake process
Attorney Marketing Support
This role serves as a hands-on resource for the firm’s attorneys, helping them show up professionally and consistently across both digital and physical marketing touchpoints.
Assist attorneys with the creation and formatting of marketing materials including bios, one-pagers, practice area summaries, and digital content
Coordinate production and fulfillment of physical marketing materials such as brochures, branded collateral, business cards, and mailed communications
Support attorneys in preparing for speaking engagements, community presentations, and sponsorship appearances- including slide decks and leave-behind materials
Help maintain attorney profiles and firm-facing content across digital platforms (website, directories, LinkedIn) in coordination with the Marketing Manager
Respond to ad hoc material requests from attorneys in a timely and organized manner, managing competing priorities effectively
Referral Partner Relationships
Support the firm’s referral tracking system, ensuring all referral sources are accurately logged and maintained in Clio Grow and Clio Manage
Assist with communication and follow-up with referral partners on behalf of the Marketing Manager and Firm Partners
Help coordinate referral partner appreciation efforts, including materials, outreach, and event invitations
Identify and flag referral patterns or notable changes in source volume for review
Event & Community Marketing Support
Assist with planning, coordination, and on-site execution of firm events and community initiatives
Manage event materials, signage, merchandise prep, and post-event follow-up communications
Coordinate logistics and staffing support as needed for events of varying size and format
Support community partnership activities and outreach aligned with firm marketing goals
General Marketing Operations
Assist with ordering, organizing, and maintaining firm merchandise and marketing materials inventory
Support the Marketing Manager with project tracking and task management using Monday.com
Provide administrative and coordination support across marketing initiatives throughout the year
Qualifications:
Bachelor’s degree in Marketing, Communications, Business, or a related field preferred, but not required
1–3 years of experience in marketing, operations, communications, or a related support role (internships and relevant coursework welcome)
Strong organizational skills with the ability to manage multiple tasks and competing priorities
Comfort working in data systems- entering, auditing, and pulling reports from CRM or intake tools (experience with Clio Grow a plus, but not required)
An analytical mindset: you notice when something looks off and you follow up on it
Experience creating or formatting marketing materials - digital and print - using tools like Canva, PowerPoint, Adobe, or similar
Excellent written and verbal communication skills, including the ability to work professionally alongside attorneys and staff
Willingness and availability to work occasional evenings and weekends for firm events
Valid driver’s license and reliable access to a vehicle for event-related travel and materials transport
Ability to lift and carry up to 25 pounds as needed for event setup
