Licensing Administrator

We are looking to hire an organized and proactive Licensing Administrator to play a high-impact role at the intersection of creative, production, and brand licensing. In this position, you will help bring licensed products to market by driving submissions, managing approvals, and keeping key projects on track across multiple brands and timelines. Key Responsibilities

- Drive artwork and product concept submissions for licensor review, ensuring every package is complete, accurate, and submitted on schedule.

- Act as a central point of coordination between designers, production teams, and licensors, keeping communication clear, timely, and solutions-focused.

- Own approval workflows across digital licensing and asset management platforms, helping projects move efficiently from concept to launch.

- Maintain detailed records of submissions, comments, approvals, and deadlines across multiple licensed brands.

- Ensure all artwork and product concepts align with brand standards, licensing requirements, and production expectations.

- Monitor project timelines and proactively follow up with internal teams to keep approvals on schedule.

- Organize digital files and approval documentation to support easy retrieval, reporting, and cross-functional collaboration.

- Lead administration of the NuOrder B2B e-commerce platform, maintaining assets and supporting product readiness for successful launches.

- Lead administration of the Shopify B2C e-commerce platform, helping ensure an accurate, polished, and customer-ready online experience.

- Build and maintain a well-organized, searchable asset library using consistent naming conventions for current and new materials.

- Support business and account teams by fulfilling requests for product image assets and related creative materials.

- Take on additional projects and responsibilities as assigned by the Creative Director.

Desired Skills and Experience

Qualifications
- 3+ years of experience in licensing, production coordination, consumer products, or a similar environment where organization and follow-through are critical.
- Bachelor's degree preferred.
- Experience working with web-based licensing, project management, or approval platforms is strongly preferred.
- Proficiency in Microsoft Office, Google Workspace, and digital collaboration tools.
- Strong communication skills and the confidence to work cross-functionally with internal stakeholders and external partners.
- Exceptional attention to detail, strong organizational skills, and the ability to juggle multiple priorities without losing momentum.
- Proven ability to meet daily deadlines and deliver high-quality work in a fast-paced environment.
- Comfortable balancing competing deadlines and shifting priorities while staying organized and responsive.
- Previous experience in licensing, consumer products, production coordination, or related industries is a plus.
- A collaborative, team-oriented mindset and a proactive approach to problem-solving.
