Human Resources Training and Operations Manager


JOB SUMMARY

The Training and Operations Manager is responsible for the onboarding, training and continuing education of caregivers, while managing daily administrative functions and ensuring regulatory compliance of the agency in a Human Resources capacity. This role ensures all employees are properly trained, supported, and aligned with FirstLight’s Culture of Care, while maintaining accurate HR systems and continuing education requirements.


KEY RESPONSIBILITIES


Training, Onboarding & Development

  • Lead new hire orientation and onboarding programs by delivering best in class training on ADLs / IADLs, Dementia care, Infection control protocols, HIPAA compliance and other company policies and procedures
  • Manage the collection, verification, and maintenance of all required employment documentation to ensure complete and compliant employee records
  • Identify training gaps and implement ongoing development programs, performance improvement plans and scheduled employee evaluations.

Continuing Education & Compliance

  • Manage all continuing education requirements for caregivers and staff
  • Track certifications, licenses, and required training renewals
  • Ensure compliance with state regulations and company standards
  • Coordinate and assign ongoing training modules (in-person and digital)
  • Maintain audit-ready documentation for all training and certifications
  • Strong leadership skills with experience supervising multidisciplinary teams in clinical or administrative environments.
  • Background in nursing or medical administrative support is highly desirable; clinic or hospital experience preferred.

Employee Relations & HR Management

  • Serve as the primary point of contact for employee relations matters
  • Conduct coaching, performance discussions, and corrective actions
  • Handle conflict resolution and employee concerns professionally
  • Develop and implement employee retention strategies
  • Promote a positive, engaged, and compliant workplace culture

HRIS & Administrative Management

  • Manage and maintain the HRIS (Human Resources Information System)
  • Ensure accuracy of employee data, onboarding records, and compliance documentation
  • Track employee status, training completion, and performance records
  • Generate reports related to staffing, compliance, and HR metrics
  • Support system improvements and process optimization

HR Operations & Collaboration

  • Maintain employee files and ensure compliance with company HR policies and applicable regulating agencies.
  • Provide administrative oversight during audits, reporting, and regulatory visits
  • Collaborate with Recruiting, Scheduling, and Leadership teams
  • Ensure a seamless transition from hiring → onboarding → active employment

Qualifications

  • Bachelors Degree + 5-10 years in Human Resources, Training, or Employee Relations Experience
  • Experience managing employee training programs and compliance tracking
  • Experience working with or administering HRIS platforms
  • Strong knowledge of HR best practices and labor regulations
  • Comfortable leading trainings and addressing employee issues
  • Strong organizational, administrative, and communication skills

Effectively balances competing priorities such as onboarding, training sessions, employee relations, and administrative responsibilities.


Coaching-Oriented Approach to Employee Development

Focuses on guiding and developing employees through feedback, support, and training rather than just enforcing rules.
