Position: Senior Facilities Specialist
Location: Irvine, CA 92618
Shift: M-F 8am- 5:00pm
Duration: 6-month contract with the possibilities of extensions
Pay rate: 55-60/hr
Job Description:
We are seeking a senior level workplace operations professional to own the daily execution, governance, and financial integrity of a multi building corporate campus. This role is hands on and onsite. You will manage vendors, budgets, access control, and site logistics while partnering closely with Finance, HR, IT, Legal, and Procurement. You will be the person who keeps the campus running smoothly, safely, and within budget.
Financial operations and governance
Manage purchase requisitions and internal request workflows using SAP
Audit vendor invoices for accuracy and policy compliance
Maintain daily OPEX tracking and cost visibility in Excel
Partner with Finance and Procurement on spend controls and approvals
Facilities operations coordination
Coordinate daily services across 25+ vendors including HVAC, electrical, janitorial, landscaping, and waste
Serve as the onsite point of contact for service execution and issue resolution
Support vendor renewals, scope changes, pricing discussions, and disputes
Access control and security administration
Independently manage badge creation, deactivation, and access level changes
Run and review security compliance and access reports
Enforce access control standards and site policies
Workplace logistics and inventory
Own day to day site logistics and ordering
Place Aramark orders and manage janitorial inventories
Coordinate catering services and daily inquiries
Process and distribute corporate mail
Cross functional partnership
Partner with HR to support workplace needs for programs and events
Collaborate with IT, Finance, and Legal to ensure site readiness
Support leadership visits and corporate activities
Site compliance and readiness
Conduct proactive site walks across the Irvine campus including Waterworks
Identify maintenance needs and safety risks early
Maintain a professional, corporate casual site appearance
Qualifications & Physical Requirements:
5+ years in workplace operations, facilities management, or a high-level administrative role within a corporate environment.
Technical Proficiency: Advanced expertise in Excel (data tracking/budgeting), PowerPoint, Outlook, and Word.
Physical Demands: Ability to lift 15 lbs., stand for long periods during events, and walk between campus buildings for site checks.
Schedule: Monday – Friday, 8:00 AM – 5:00 PM.
Compensation
$55.00/hr. -$60.00/hr. Exact compensation may vary based on several factors, including skills, experience, and education. Benefit packages for this role will start on the 1st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law
