The Opportunity
We are hiring a Remote Executive Assistant to be a true right hand to our leadership team. This is not a transactional support role. You will be a trusted partner who keeps the business running smoothly, anticipates needs before they are voiced, and brings calm and structure to a fast moving environment.

Key Responsibilities
Executive Support
Manage complex calendars and protect leadership's time
Triage inboxes, draft correspondence, and surface what needs attention
Coordinate domestic and international travel, including itineraries and logistics
Prepare meeting agendas, capture notes, and track action items to completion
Maintain organized digital files, contacts, and CRM records
Manage expense tracking, receipts, and reimbursements
Business Operations
Liaise with clients, vendors, and field technicians to keep projects on track
Support light bookkeeping, invoicing follow up, and document preparation
Help refine and document internal processes as the company scales
Support business development through research, prospect list building, and outreach coordination
Contribute to special projects across operations, marketing, and administration
Personal Assistant Support
Some personal assistant responsibilities are part of this role, including personal scheduling, appointments, online ordering, gift sourcing, family logistics, and occasional research projects
The balance between business and personal support is reasonable and the right person enjoys the variety
Qualifications
Required
2+ years of experience as an Executive Assistant, Virtual Assistant, Operations Coordinator, Chief of Staff, or similar role
Exceptional organization and attention to detail
Strong written and verbal communication skills
Proficiency with Google Workspace, Microsoft Office, Slack, and Zoom
Comfort learning new technology quickly, including CRMs, field service software, project management tools, and AI assistants
Self starter who can manage time independently and operate without close supervision
Discretion and trustworthiness when handling sensitive business and personal information
Professional, friendly, and confident communicating with clients, vendors, and team members
Preferred
Experience supporting a small business, startup, founder, or owner operator
Background in property management, real estate, home services, or B2B services
Familiarity with QuickBooks, Jobber, HubSpot, or comparable platforms
Based in Texas, ideally Dallas Fort Worth (not required)
