About the Role
We are looking for a highly organized, proactive Executive Assistant to provide seamless support to senior leadership. In this role, you will operate as a trusted partner — managing complex calendars, coordinating logistics, and handling administrative functions with precision and discretion. What You'll Do
Calendar & Scheduling: Manage and optimize executive calendars using Microsoft Outlook, including scheduling meetings, resolving conflicts, and coordinating across time zones.
Expense Management: Process and reconcile expense reports using Concur, ensuring charges are allocated to the correct cost centers and submitted on time.
Expense Tracking: Maintain and update expense tracking spreadsheets, providing clear records for finance review.
Executive Support Partnership: Partner closely with the Executive Support Lead to filter, prioritize, and route incoming requests and work from C-suite executives, ensuring the right tasks reach the right people at the right time.
Meeting Coordination: Coordinate logistics for internal and external meetings, including agendas, materials, travel, and conference setup.
Project Support: Support ongoing projects by tracking action items and deadlines — without needing full context on every initiative.
Administrative Operations: Handle ad hoc administrative requests with a solution-first mindset, proactively identifying and addressing gaps.
What We're Looking For
2+ years of experience as an Executive Assistant or in a senior administrative support role
Expert-level proficiency in Microsoft Outlook for calendar and email management
Hands-on experience with Concur for expense reporting and cost-center allocation
Strong proficiency in Microsoft Excel or Google Sheets for expense tracking and reporting
Exceptional organizational skills with a strong sense of ownership and follow-through
Excellent written and verbal communication skills
Comfortable operating in ambiguous, fast-moving environments where project details are not always fully defined
High degree of discretion when handling confidential information
Ability to manage multiple priorities simultaneously without sacrificing accuracy or quality
Nice to Have
Experience using monday.com or similar project management platforms
Familiarity with supporting C-suite or VP-level executives
Background in coordinating travel arrangements and off-site events
In accordance with applicable pay transparency laws, we are committed to providing clear and equitable compensation information. For this remote position, the expected salary range is $ 20 - $35/hour USD depending on location, experience, and qualifications.
