The Executive Assistant will provide high-level administrative support to senior leadership, including two executives, while serving as a key liaison to the Board of Directors. This role requires a proactive, highly organized professional who can manage competing priorities, maintain confidentiality, and operate independently in a dynamic and fast-paced environment.

This position plays a critical role in ensuring seamless executive operations, supporting governance processes, and coordinating high-level meetings, events, and communications.


Key Responsibilities:

  • Manage complex calendars for executive leadership, including coordinating schedules across multiple stakeholders
  • Coordinate high-level meetings, board meetings, and leadership events
  • Prepare agendas, presentations, and board materials
  • Serve as liaison between executives, board members, and internal/external stakeholders
  • Track action items and ensure follow-through on key initiatives
  • Draft and proofread correspondence and executive communications
  • Coordinate travel arrangements and process expense reports
  • Support board governance processes, including maintaining records and meeting minutes
  • Assist with confidential projects, including labor relations and organizational initiatives
  • Maintain organized and secure documentation and files


Qualifications:

  • 5+ years of Executive Assistant experience supporting senior leadership
  • Experience supporting a Board of Directors required
  • Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and Google Suite
  • Experience with Zoom and virtual meeting platforms
  • Exceptional organizational and time management skills
  • Strong attention to detail, including proofreading and editing abilities
  • Ability to manage multiple priorities and work independently
  • Professional, discreet, and able to handle highly confidential information
  • Strong communication skills with ability to interact with executives and stakeholders
